Position Summary

The Culinary Administrator provides vital administrative and HR support to the Culinary Department, ensuring efficient and well-organized operations at Curaçao Marriott Beach Resort. This role manages day-to-day administrative tasks, supports recruitment and HR processes, maintains accurate records, and assists the Executive Chef and Culinary Leadership Team with scheduling, communication, ordering, and reporting. By coordinating essential administrative functions, the Culinary Administrator supports the culinary team in maintaining consistent quality and operational excellence.

Qualifications

  • Degree in Business Administration, Hospitality Management, or related field preferred.  
  • Minimum 2 – 3 years’ experience in an administrative, HR or coordinator role, preferably in hospitality. 
  • Knowledge of procurement, ordering/requisition systems, and basic financial processes.  
  • Familiarity with brand standard compliance and audit documentation in hotels.  
  • Strong organizational and multitasking skills with attention to detail. 
  • Proficiency in Microsoft Office Suite (Work, Excel, PowerPoint, Outlook) 
  • Excellent communication skills in English (Spanish, Dutch, and Papiamentu are an asset).  
  • Ability to maintain confidentiality and handle sensitive information with discretion. 
  • Team player with a proactive, service-oriented mindset.  
  • Familiarity with culinary management systems or inventory software is a plus. 
  • Strong analytical skills for monitoring operational metrics and reporting. 

Key Responsibilities

Administrative Support 

  • Provide comprehensive administrative assistance to the Executive Chef and culinary leadership team. 
  • Manage departmental filing systems and internal communications.  
  • Prepare reports, presentations, and meeting documentation as needed. 
  • Maintain and update brand standard audit documentation for culinary operations. 
  • Coordinate internal audits and follow-up actions.  
  • Manage daily ordering and requisitions for food, beverages, and kitchen supplies. 
  • Support accurate inventory records and ensure timely submission of purchase requests. 
  • Coordinate vendor invoices, purchase orders, and approvals with Finance and Procurement.  
  • Assist with budget tracking, expense reporting, and food cost analysis.  

Human Resources & Training Support 

  • Assist with daily standups and internal communication.  
  • Track and update the training log for all culinary associates to ensure compliance and skill development.  
  • Act as a liaison between the culinary department and HR for associate queries, payroll, and benefits. 
  • Prepare and manage weekly staff rosters in collaboration with the culinary leadership team.  
  • Track overtime, attendance, and leave requests to ensure compliance with labor policies. 
  • Manages payroll closing for the culinary department.  
  • Assist with the organization of culinary events, meetings, tastings, and special functions.  
  • Support the culinary leadership team with coaching and performance feedback.  
  • Fosters an inclusive, respectful, and motivating work environment.  
  • Utilizes interpersonal and communication skills to lead, influence, and encourage others.   
  • Assist in tracking and documenting completion of sanitation, equipment handling, and chemical safety training. 
  • Support enforcement of professional and operational standards within the culinary department. 
  • Support the culinary leadership team with reviewing employee satisfaction results to identify and address employee problems or concerns. 
  • Ensure disciplinary procedures and documentation are completed according to Standard and Local Operating Procedures (SOPs and LSOPs). 

Collaboration & Cross-Departmental Coordination 

  • Coordinate and communicate between culinary, HR, finance, and procurement teams to ensure smooth operational flow. 
  • Support the Executive Chef and culinary leadership in facilitating communication, reporting, and follow-up actions across departments. 
  • Assist with tracking completion of mandatory training and certifications across the culinary department.
